Increasing Patient and Referrer Loyalty with Flexible Online Appointments

Imaging Center in Karlsruhe, Germany, simplifies processes with booking4med

The imaging center MVZ Radiology Karlsruhe has already been working with booking4med, the online appointment booking system from Karlsruhe-based IT specialist medavis, since mid-2020. “We wanted to simplify the entire appointment booking process for everyone involved. Patients should be able to access the booking system online and book appointments with us regardless of time, place, practice opening hours and waiting times on the phone. We also want to reduce our registration staff’s workload,” says radiologist Prof. Dr. Henrik Michaely, outlining the goals of the system implementation. The imaging center has achieved these goals, not only because booking4med significantly facilitates the workflow through a complete integration into medavis RIS.

The online appointment data is stored in RIS and is available directly for patient registration. All in all, booking4med saves the employees a lot of work and accelerates the processes. Data protection is also taken care of: The patient data remains on the imaging center’s server in Germany at all times, which is fully GDPR-compliant. “It is a decisive argument for some patients and extremely important for us that booking4med makes this possible,” Prof. Michaely emphasizes the important aspect.

Thus, the experiences have been consistently positive so far. “The online data input is more precise than on the phone, where errors occur during the data entry despite all the attention. Overall, our employees naturally spend less time on the phone. The online appointments appear in our RIS scheduler including the important customer data. This means we can then simply register the patients when they come into the practice. That also saves us a lot of work,” says the radiologist.

booking4med has more than fulfilled expectations in Karlsruhe, both in terms of functionality as well as stability and integration. “booking4med shows radiology a way into the future and allows us to optimize the workflow. This means that we need fewer people on the phone and can reach and manage patients better,” says Prof. Dr. Henrik Michaely, summarizing the advantages of online appointment booking. In the next step, the MVZ Radiology Karlsruhe also wants to offer the system to its referring physicians, who will then be able to book appointments directly for their patients in the imaging center.
